Challenge
Oklahoma State University Career Services hosts large-scale career fairs each year to connect students and alumni with employers across multiple industries. As participation expanded, students had limited access to employer information before events, and fair logistics relied heavily on printed materials and manual communication. There was no centralized digital system for students to preview participating companies or navigate employer booth locations during the event.
The objective was to implement a digital platform that would modernize event operations, improve pre-event visibility, and enhance the overall career fair experience for both students and employers.
Project Approach
I led the implementation of Career Fair Plus, from vendor evaluation through configuration, staff training, and student and employer rollout.
Evaluation & Implementation
-
Evaluated platforms against criteria including student experience, mapping capability, staff usability, scalability, and cost
-
Coordinated communications across employers, event planners, and IT, identifying what each role needed to know and when
-
Trained staff on platform use and established repeatable workflows for future events
-
Built internal timelines with defined milestones for employer data entry, map configuration, staff training, and pre-launch review

Platform Configuration
-
Configured each career fair as a distinct event within the system, managing employer registrations, booth assignments, and event details across multiple fairs per semester
-
Designed detailed floor plans for multiple venues, including large-scale events with 150+ booth positions
-
Performed booth-by-booth mapping within the app, linking each company profile to its physical location on the interactive floor plan
-
Managed data transfer between HireOSUGrads registration system and Career Fair Plus to maintain consistency across systems
Student & Employer Adoption
-
Developed student-facing marketing materials integrating app adoption into pre-event communications across print, digital, and social channels
-
Tracked engagement metrics post-launch and adjusted communication strategies to improve adoption semester-over-semester

Outcome
The result was a centralized digital platform that connected students to employer information before, during, and after each event. Interactive employer pages and dynamic floor plans replaced static materials and improved how students prepared for and navigated career fairs at OSU.
The initial goal was an 80% adoption rate during the Spring semester. The platform exceeded expectations with a 94.8% adoption rate at the STEM Career Fair and 84% adoption rate at the All Majors Career Fair.
Career Services gained a repeatable system for configuring and managing events digitally, reducing manual coordination, improving the student and employer experience, and introducing a consistent way to track career fair engagement.
